Do We Need Project Managers in the AI era?

Can you send me the status report of this project? Did the client sign off the project?

Now do you think the above things can be done by AI automatically? The answer is Yes, it can. No chasing of email, no manual update on the excel and this is just done by the tools are in currently use.

Greetings! The age of AI in project management, tasks created with the algorithms before a project manager says a word critical path. Now the question begins: Do we really need a project manager?

Machine getting smarter

As we used excel a long time ago – currently also in some organizations. However, it has now changed vastly. Project management software is not what it used to be before. Instead of dealing with static tools it has totally moved to AI driven platforms such as JIRA, ClickUp, Power BI, Asana and even some trusted AI tools.

In that scenario AI can predict the delays based on Historical Data, According to the delays the automation on the resources can be done, If there is budget overruns AI tool can predict it and send an alert since AI forecasts delays, cost overruns, and resource shortages based  on  historical  and  real-time  data

(Margherita & Braccini, 2020). Along with that Meeting summaries, followups, MInutes all these items can be replaceable by the AI tool. Not only that it included risk assessments, all project related documents along with the suggestion to make the project productivity to higher as Scheduling, reporting, and monitoring are being streamlined by intelligent systems (PMI, 2021).

In simple terms an AI can handle more than a junior PM. Now the same question: do we really need a project manager when AI is present?

Can AI replace Project manager?

Even though AI is doing predictive analysis, Automation of Routine Tasks and interpreting the project documents and stakeholder email management, but understanding the stakeholders

mindset and talking to them, talking to the team, Emotional Intelligence can not be handled by the AI yet.

Let’s discuss a few items which need proactive humans rather than AI.

Strategic Decision making

AI is still not good at contextual intelligence. In some cases the budgeting doesn’t matter due to the new opportunities which can be decided by the PM with some intelligence where AI is not well on it. This purely comes as strategy not as syntax. When AI gives the options, Project Manager still chooses the direction towards the business strategy.

Communication with Team

Communication is not only transferring the data which AI can do easily and properly. But what can not be done is if an employee feels not good the humanative speaks louder. PMs are not considered as just communicators rather analysts, interpreters and therapists. While AI handles the logic of the scenario the friction will be handled by the PM without any doubt.

Agarwal & Brem says PMs are still responsible for team morale, motivation, and stakeholder engagement—functions no algorithm can authentically perform (Agarwal & Brem, 2020).

Human-Centered Ethics and Strategic Alignment

When it comes to the AI powered project places, such as healthcare and government, the major key part is to check the ethical oversight and strategic direction are still in the Project manager’s hand. According to Project Management Institute (PMI, 2022), it says the project is the ultimate responsible person to make sure the implementation of AI is matched with the organizational values.

Further AI can think on how but a project manager can define why, that is the important question to resolve the root cause of the problem which can involve the problems which are currently being solved is right at the moment and whether this aligns with the business strategy or not.

That’s why PMI says AI cannot provide ethical reasoning or contextual prioritization—those are human domains. – PMI Pulse of the Profession, 2022.

Dobson et al. (2024) says, PMs play a critical role in value-sensitive design, ensuring transparency, fairness, and accountability in AI-based projects.

AI + PM > > > AI vs PM

When it comes to PM and AI it’s not about AI vs Project Manager and it should be AI with Project Manager. AI is not to replace the Project managers rather it should elevate. When a project manager is a person who thinks, influences and feels that person can go with AI. AI is not dangerous here rather not evolving with AI can be dangerous.
